Job Summary Randstad is looking for a Recruiting Coordinator to join our global manufacturing client’s HR Shared Services team.
This role focuses exclusively on coordinating interview logistics—from managing complex calendars to preparing candidate confirmations—ensuring every candidate and hiring team receives a consistent, high‑quality experience. Required Qualifications:
- 1–2 years of experience in high‑volume scheduling, administrative coordination, or calendar management.
- Exceptional attention to detail, robust organizational skills, and excellent written/verbal communication.
- Proficiency with Outlook, Microsoft Teams, or similar scheduling and meeting platforms.
Preferred Qualifications:
- Prior experience in HR, recruiting coordination, or a Shared Services environment.
- Familiarity with Applicant Tracking Systems (ATS) such as Workday or Eightfold.
- Experience scheduling across multiple time zones or supporting fast‑moving, high‑volume teams.

Responsibilities
Core Responsibilities - End-to-End Coordination: Manage all aspects of interview scheduling, including phone screens, virtual interviews, onsite visits, panel interviews, and loop sessions.
- Calendar Management: Coordinate calendars across multiple time zones, departments, and leadership levels.
- Communication: Send polished, accurate calendar invitations complete with meeting links, instructions, agendas, and logistical details.
- Real-Time Adjustments: Monitor and respond promptly to scheduling requests; confidently handle urgent changes, last‑minute reschedules, and interviewer substitutions.
- Onsite Readiness: Reserve conference rooms and ensure day‑of readiness for all onsite interviews.
- Candidate Care: Provide clear directions, arrival instructions, and access information to candidates while troubleshooting basic technical or access issues.
- Data Integrity: Maintain the highest level of confidentiality when handling candidate and employee data.
- Tracking: Maintain accurate scheduling notes and updates in our internal systems and Shared Services workflow trackers.
- Collaboration: Partner closely with recruiters and hiring teams to ensure alignment on interview timing, expectations, and needs.
